Connecting Salesforce to ReferralPulse

If you run your business in Salesforce, connecting it to ReferralPulse keeps your referral records and your opportunities in step. Contacts you choose to bring in become partners, new opportunities you create for referred clients get linked automatically, and when an opportunity closes won or lost, the referral status here updates to match.

The connection is one-way. ReferralPulse reads contact and opportunity data from Salesforce. It never creates opportunities, never moves them through your pipeline, and never edits anything in your Salesforce account.

Connecting your Salesforce account

Where to find it: Top-right avatar menu → Settings → Integrations tab → CRM & Practice Management → Salesforce → Connect.

Connecting takes two steps the first time anyone at your company does it. After that it is one click.

Step 1: A Salesforce Admin Installs The ReferralPulse App (Once Per Company)

Salesforce only lets people connect to an app that has been installed in their org, and only a System Administrator can install one. This is done once. Nobody else at your company has to repeat it.

If you are the admin, do this yourself. If you are not, send your admin this page.

  1. Open the install link: Install ReferralPulse in Salesforce. The same link is on the Salesforce row in ReferralPulse, labeled Install app now.
  2. Sign in to Salesforce as a System Administrator.
  3. Choose Install for All Users, then click Install. It takes about a minute. The app is small: it holds the connection settings and nothing else. It adds no objects, no fields and no code to your org.
  4. Go to Setup (gear icon, top right), search for External Client App Manager, open ReferralPulse, and click Edit Policies. Set these two:
    • IP Relaxation: "Relax IP restrictions." ReferralPulse runs on servers that do not have a fixed set of IP addresses, so an org that only allows logins from the office network will block the sync a few hours after you connect.
    • Refresh Token Policy: "Expire refresh token if not used for" 30 days or more. This is what keeps you signed in between syncs. Salesforce's default signs ReferralPulse out after a fixed time, and you would have to connect again.
  5. Leave Permitted Users on "All users may self-authorize" so your team can connect without asking you again.

Step 2: Connect

Click Connect on the Salesforce row. Salesforce's sign-in and approval screen opens in a small window. Sign in if you aren't already and click Allow. The window closes on its own, the Salesforce row flips to the green Connected state showing your org name and a last-synced time, and ReferralPulse shows your contacts so you can pick who to bring in.

If Salesforce says the app is not installed or not supported for your org, Step 1 has not been done yet. Send your admin this page, then click Connect again once they have installed it.

If you land on the Salesforce home page with no approval screen, close the window and click Connect again. Salesforce sometimes loses the request the first time you sign in to an org from a new browser.

Which Salesforce editions work

ReferralPulse requires access to the Salesforce API, which is available on these editions:

  • Enterprise Edition
  • Unlimited Edition
  • Performance Edition
  • Developer Edition
  • Professional Edition (requires the API add-on from Salesforce; contact your Salesforce account team to purchase it)

These editions do not support API access:

  • Starter Edition
  • Essentials Edition
  • Group Edition

If you're on Starter, Essentials, or Group and want to use this integration, you'll need to upgrade to a higher edition or add the API option to Professional.

What gets synced

Once Salesforce is connected, here's what happens.

Contacts you choose become partners. Right after you connect, and any time you click Sync on the Salesforce row afterward, you'll see the contacts from your Salesforce org and pick which ones you want tracked as partners here. This is a manual choice, not a constant background copy of your whole contact list, so your network here only has the people you actually want in it. Account records in Salesforce aren't included, only individual contacts are.

Opportunities link to received referrals. When you create an opportunity in Salesforce for a client a partner referred to you, your assistant looks at your unlinked received referrals and tries to find a match. If the opportunity's contact email matches the referral's client email, the link is created automatically and you get a confirmation notification. If the match is less certain (a name match, or company plus a shared name token), you get a suggestion notification with a one-click confirm on the referral. If nothing matches, the opportunity is left alone.

Opportunity status flows into the referral. Once an opportunity is linked, its status drives the referral status here. An opportunity marked won moves the referral to Won. An opportunity marked lost moves it to Lost. An open opportunity keeps the referral as Open. The change shows up on the referral's activity timeline so it's clear the update came from Salesforce, and the notifications panel shows a matching banner. ReferralPulse checks Salesforce every 15 minutes, so a change there shows up here within about that long.

Your Salesforce history shows up on the partner's timeline. Calls, meetings, to-dos and notes you logged in Salesforce appear on the partner's Activity tab, and emails appear too. See the next section for exactly what is kept.

Auto-link only fires for received referrals. Opportunities you create for clients you sourced yourself, not through a referral partner, are never auto-linked and never touched. The integration is scoped to the referrals a partner sent your way, where matching an opportunity to the referral is meaningful.

What Shows On The Timeline

Open any partner you brought over from Salesforce and their Activity tab shows what you already recorded there.

Calls, meetings, to-dos and notes appear in full. These are your own notes, so they read here the way they read in Salesforce: the subject, what you wrote, the date, and for a call its length. A completed call or a meeting that has already happened also moves that partner's "last contacted" date, so your assistant stops nudging you about someone you spoke to last week.

Emails appear as a short summary, with a link to open the original in Salesforce. Your assistant reads the message once, writes a line or two you can use to prepare for a meeting, and keeps that. ReferralPulse does not keep the email text. It is deleted after 7 days, the same rule that applies to a connected Gmail or Outlook mailbox, and the original never moves: it stays in Salesforce, one click away from the timeline row.

Only the contacts you imported as partners are read. Activity on the rest of your Salesforce org is never touched.

History goes back 12 months, and it arrives a few partners at a time rather than all at once, so a large org does not flood your timeline on day one.

Give it up to 30 minutes. ReferralPulse checks for new Salesforce activity on a half-hourly schedule, so something you log there shows up here within about that long. Nothing from Salesforce ever lands in Inbox Review: it is history you already filed, not mail waiting on a decision from you.

Disconnecting Salesforce

Where to find it: Settings → Integrations → CRM & Practice Management → Salesforce → Disconnect.

Disconnect asks you to confirm, then stops the sync. Your existing opportunity links and the sync history already written into the referral activity timeline are preserved, since they're part of the referral record on this side. Your synced partners stay too. Reconnecting later means signing in again.

To revoke access inside Salesforce so the app can no longer read your data:

  1. Sign in to Salesforce.
  2. Go to Setup, then search for "Connected Apps OAuth Usage."
  3. Find ReferralPulse in the list and click it.
  4. Click Revoke to disconnect it at the org level.

Revoking the connection in Salesforce will stop any sync the next time it runs.

On the iOS app

You can check whether Salesforce is connected from your phone, but the connect, sync, and disconnect actions live on the web app today. Open Settings → Integrations on the web to make the change.

The auto-link and status sync run in the background regardless of which device you're on, so an opportunity you mark won on your laptop can show up reflected on a referral you open in the iOS app minutes later.

Tip

Ask your assistant in the AI Chat something like "did the Acme opportunity close yet," and it can read the synced status straight from the referral. No tab-switching to Salesforce to check.
